Last updated October 17, 2026. This covers the Housebook website and the Housebook app for iPhone and Android.
Hello Housebook is a manual for your house: its systems and appliances, maintenance, warranties and what to do in an emergency. This page says what information it keeps, why, and who else handles it.
What we keep
- About you: your name and email address (for your sign-in, renewal and the monthly reminder email), and your password, stored only in a scrambled form we can't read.
- About your home: what you or your setup person enter: appliances and systems, model and serial numbers, maintenance and to-dos, contractors you list, warranties, insurance and other documents, photos (such as shutoff valves and labels), emergency steps, a contact phone number for the guest page, and guest Wi-Fi if you add it.
- Questions you ask Housebook (the AI) and photos you have it read, while it answers.
- Sign-in cookie: one cookie that keeps you signed in. No other cookies.
- Notification addresses for phones or browsers where you turn notifications on.
Who can see it
- You, and anyone you give your password to.
- Your Housebook setup person (the administrator), to set up and support your home.
- Guests: the guest page that your plates' QR codes open shows only the emergency steps, the contact phone number and the guest Wi-Fi. Nothing else from your home.
Companies that handle it for us
- Netlify hosts the site and stores the information.
- Anthropic (Claude) reads questions, photos, documents and model numbers to answer and fill in details, and may search the web for an appliance's manual. Anthropic doesn't use this to train its models.
- Resend sends the monthly reminder email.
- Apple, Google, and your browser's notification service deliver notifications you turned on.
Each one handles the information only to provide its service to Hello Housebook.
What we never do
- We don't sell or rent your information, and we don't share it for advertising.
- There are no ads and no advertising or analytics trackers, on the site or in the app.
- Door, lockbox and alarm codes are never put on the emergency (guest or tenant) pages, in the AI's answers, or in printouts.
The phone app
- Camera and photos: used only when you tap to take or choose a photo (for example an appliance label or a warranty). The photo goes to the site to be read, like a photo you upload.
- Notifications: if you turn them on, Apple (iPhone) or Google (Android) gives the app a notification address, which we save with your sign-in so we can send your reminders and alerts. Turn them off any time in the app or the phone's Settings.
- Saved on your phone: the emergency steps (with their photos, the contact phone number and any guest Wi-Fi) of homes you open in the app are kept on your phone so they work without internet, plus your choice of homeowner or rentals. Deleting the app deletes them.
- The app doesn't use your location, contacts, microphone or advertising identifier.
